Cyclonaire is currently looking for a Customer Service Specialist
to join our team.
Job Summary
The Customer Service Specialist provides specific information
regarding the services, products, or materials offered by a
company. They answer phones, provide troubleshooting information,
report and analyze customers' information and needs, issue billing
details, enter product and parts orders, and maintain customer
accounts. In summary, they are the direct link between the company
and its existing and potential customers. This role will be able to
carry out its functions in accordance with Cyclonaire's Core
Values.
Essential Functions
Assist the Parts Department Supervisor in achieving efficient
operation and profitability goals for the Parts department while
exceeding customer expectations and maintaining a positive work
environment
Acts as a liaison between customers and management to enhance the
overall customer experience
Fill parts order requests from outside and inside customers in a
timely and efficient manner
Assist customers in every aspect relating to parts, including order
entry, pricing, availability, upgrades, warranty, repair parts, and
returns, and develop and maintain a vast knowledge of the products
and services being offered
Resolve parts order/invoice issues
Utilize various software programs to effectively manage the
business relationship between the customer and Cyclonaire
Interact with customers to ensure a positive experience with
Cyclonaire, including management of incoming phone calls and
customer service inquires
Assist with the appearance and organization of the Parts department
to communicate professionalism and a commitment to excellence by
the department
Grow knowledge base in Cyclonaire products to bring increased value
to the customer
Perform proactive customer follow-ups for critical shipments or any
order issues
Perform shipping and receiving duties as required
Assist in achieving the company and departmental goals by
performing other duties as assigned.
Competencies: Microsoft Office (Word, Excel, PowerPoint, Outlook,
Teams), CRM Systems, Workflow proficiency. Ability to prioritize
and manage workload while meeting critical timelines with high
expectations from internal and external customers. Requires
excellent oral and written communication skills to communicate
effectively with customer staff on a professional level, exercising
tact and discretion. This includes clear communication of complex
information via both verbal and written communication. Must have
the ability to prioritize and manage workload while meeting
critical timelines with high expectations from internal and
external customers. Problem-solving and critical thinking skills
are required. Ability to acquire a working knowledge of the
products, business systems, and phone systems to provide service
and recommendations to customers and colleagues.
Education / Experience: High School diploma required; Associate
degree and/or 1-2 years' experience in a customer service role
preferred. Familiarity with industrial equipment, manufacturing
processes, metal fabrication, and Lean Enterprise techniques
desired.
Physical Demands: Requires frequent touching, grasping, and feeling
of physical equipment. Talking, hearing, and repetitive motions are
required. Occasional stooping, kneeling, crouching, reaching,
standing, walking, pushing, pulling, and lifting. Work requires
constant visual ability. Must be able to lift up to 50 pounds
independently.
Work Environment: Clean and climate-controlled office environment
in a manufacturing facility.
Travel Requirements: Travel may be required at times. Must have a
valid driver's license and a driving record that permits the use of
company automobiles.
Safety: Safety shoes (steel or composite toe), safety glasses,
hearing protection, gloves, and other forms of Personal Protective
Equipment (PPE) as required in designated areas.
Other Duties: Safe work performance is always required from each
employee. Perform all duties and responsibilities in a safe manner
in accordance with applicable Health and Safety Manuals. Required
to wear or use PPE as applicable and to immediately report unsafe
working conditions. Understanding and adhering to Cyclonaire Core
Values is required.
